Terms and Conditions

As your facilitator I commit to:

  • adherence to the code of ethics upheld by the body of which I am a professional member: the National Council of Integrative Psychotherapists (NCIP);

  • maintaining the confidentiality of our sessions and the secure holding of your personally identifiable data (PPI) as defined by GDPR legislation;

  • punctually beginning and closing our sessions at our pre-arranged times;

  • providing as much notice as possible on the rare and unavoidable occasion sessions must be postponed and advising you in advance of any planned periods where Windrose services will be unavailable.

As a Windrose client you agree to:

  • arrive for and end sessions punctually;

  • pay for sessions in advance upon receipt of invoice and provide a minimum 48 hours notice of session postponement/cancellation (please see Payment and Cancellation Policy for further details);

  • the collection and holding of your data in accordance with GDPR legislation;

  • ensure you do not consume any alcohol or excessive amounts of caffeine before your session, nor take any recreational drugs in the weeks prior. This is because the horses are sensitive to nervous system arousal or suppression caused by these substances.

Payment and cancellation policy

Payment is due in full via bank transfer upon issue of invoice. If payment is not received 48 hours prior to your session, I reserve the right to cancel.

Should you need to cancel your session, please let me know via email with as much notice as possible. Where more than 48 hours’ notice is given you can choose to receive a full refund or credit for a rescheduled session. If less than 48 hours notice is given or you miss your session your payment is non-refundable. If it is possible to reschedule within the same week, the cancellation fee will be waived. Every attempt will be made to reschedule in emergency situations, but sometimes there are no other available times within the same week. In extenuating circumstances you will be issued full credit for a rescheduled session. Credit will not roll over if you cancel your rescheduled session.

Sessions are conducted in all weather conditions, except in hazardous circumstances where weather significantly impedes your or my travel to the Windrose site, presents a risk to humans or horses on site, or a significant hindrance to session facilitation. In this instance, your sessions will be rearranged for a mutually agreed time.

I will only cancel or postpone sessions under exceptional and unavoidable circumstances and will offer you the option of a full refund or credit for your rescheduled session(s).

Privacy and Data Protection

I adhere to strict data protection policies and provide guidance for you to follow in order to maintain your privacy. I am registered with the ICO (Information Commissioner’s Office). The information you provide will be used for the purposes of providing the Windrose Horses services you have agreed upon and an appropriate level of care.

Standard therapeutic practice requires the taking of session notes which I make in order to recall key details of our work together. These notes do not have your name associated with them and are kept in a locked filing cabinet. Digital records including signed contracts are stored on my secure, encrypted computer. I remove emails from the server within 24 hours of receipt/sending and store them locally so they cannot be accessed remotely.

Adhering to client data protection standards under GDPR law and the requirements of my professional insurance, I will safely and securely dispose of client information 7 years after the completion of sessions date.

I recommend clients also secure their digital devices and emails from third parties. Never share your passwords and ensure you sign out of accounts after sessions, particularly if you are using a shared device.
